Job Description

Serve as front office receptionist to include greeting visitors, answering phones, reserving conference rooms, and distributing mail. Provide support to Assistant Dean for Diversity, Equity, Inclusion and Belonging (DEIB) which involves demonstrating commitment to working with wide ranging and diverse populations, and an openness to all opportunities for collaboration. The ideal candidate will have strong customer-service work ethic, displaying proactive initiative, good judgement, a high-level of professionalism, organization, approachability, accessibility, and responsiveness to the diverse constituents we serve. This role must demonstrate ability to handle sensitive/confidential information with discretion. The ideal candidate must have excellent interpersonal and communication skills (verbal and written) and tact in addressing sensitive circumstances, with an ability to handle unique or challenging situations with compassion. Provide assistance as needed on high-priority tasks assigned to the dean’s office personnel. It is a highly visible position and will interface with individuals both within and external to the university. Administrative support to include scheduling meetings, maintaining detailed calendaring entries, organizing, and processing travel requests, scanning and filing, the creation of meeting materials and presentations, and managing orders through HokieMart and via other resources. This includes the development of PowerPoint presentations and Excel charts, composing and editing various documents, and creating mail merges. Individual will be responsible for reviewing, generating and analyzing mass data reports to highlight and summarize key information from various databases. Take minutes at committee and other meetings. Assist with event planning as needed. Manage office equipment maintenance and maintain office supply inventory. Handle data entry and transcription.

Required Qualifications

Experience providing high level administrative support and customer service in a professional office environment; proficiency with computer applications, strong organizational, communication and interpersonal skills; ability to maintain confidentiality; ability to organize and promptly process and prioritize varied assignments; ability to locate information from any source, using the web or university resources.

Preferred Qualifications

Associates/Bachelor's degree in a related field or equivalent work experience; composition, proofreading and editing experience; event planning experience; mail merge; and university experience; experience with HokieMart.
