Job Description
Reporting to the Senior Associate Director of Finance and Administration, the Financial Services Associate provides leadership and coordination of day-to-day fiscal operations for the Fralin Biomedical Research Institute. Serves as a primary point of contact for the VT Controller’s Office on all procurement issues. Provides education and guidance on individual laboratory start-up procurement issues and associated policies. Manage funds handling processes. Manage ClinCard (participant payment) processes. Institutional procurement related responsibilities and tasks of this position include: Accounts Payable, Accounts Receivable and vendor relations. Primary fiscal tasks include: Hokie Mart Requestor/Receiver, Access management, Hokie Mart quotation review to ensure cost effective delivery, quality, and lead time, service center recoveries, VTF processing, Records Management, Oversight of reimbursement requests including travel reimbursements, Chrome River processes, business/operational reimbursements, VTF processing and relocation. The Administrative tasks of this position include maintaining effective internal controls, training and supporting 30+ lab groups with Hokie Mart usage, petty cash loan payment processing in accordance with state and federal policies and procedures, providing assistance to faculty, lab managers, students and clients in a confidential and professional manner. This position works closely with the Virginia Tech Controller’s Office, the University Bursar’s Office, Environmental Health and Safety, Purchasing and FBRI Resource Management and Operations.
Required Qualifications
Bachelor's degree in Business, Finance or related field or equivalent combination of training and experience. Relevant financial work experience is required.
Demonstrated proficiency with current office computer software such as Excel, Word, Outlook.
Demonstrated knowledge and ability to support fiscal processes via accounting, accounts payable, bookkeeping and/or related experience.
Demonstrated experience with Web Reports, Banner Finance, or similar financial or accounting related system.
Demonstrated working knowledge of the university research environment.
Preferred Qualifications
Working knowledge of Virginia Tech policies and procedures.
Experience with HokieMart, Banner and TEM.
Professional office experience in an academic, medical or business environment. Familiarity with federal and state regulatory and compliance concerns and applicability to universities.
