Faculty Affairs Coordinator IIVirginia Tech
Develops, manages, and maintains all aspects of the faculty tracking system for VTCSOM, including providing training, access, assisting faculty with data input and ensuring 100% participation by all active faculty. Develops, manages and trains users both inside the VTCSOM and outside the organization, which may require limited travel. Works closely in training administrative assistants in all VTCSOM departments. Ensures the software is working appropriately at all times and adds new user-friendly add-ons as they become available. Oversees and coordinates the downloads of faculty research and papers from known publishers. Downloads and verifies faculty participation at Carilion Clinic CME events and adds to appropriate faculty files. Ensures data backup occurs and tracks compliance measures for the LCME Responsible for faculty annual review submission to Digital Measures. Manage faculty communications to ensure 100% compliance in utilizing Digital Measures to confirm faculty performance reviews. Assist with faculty orientation, APT committee meetings, promotion process, and faculty assembly. Import block teaching schedule and student evaluations into Digital Measures. Create and maintain Virginia Tech affiliations in Banner and assist faculty in the process of setting up personal identifiers. Responsible for tracking and ensuring compliance with faculty maintenance of appointment. Represent the Faculty Affairs department by answering telephone and email inquiries. Responsible for preparing and coordinating numerous regular and electronic mailings. Maintains website information on Digital Measures, maintenance of appointment, and faculty annual review. Provide support for special projects as needed. Will need to become a certified administrator in Digital Measures within the first 90 days.
Bachelor’s degree required.
Ability to interact respectfully and comfortably with all individuals in a diverse, multicultural environment exercising judgment and high degree of confidentiality. Experience working accurately, independently and prioritizing tasks in a team environment. Strong PC software proficiency in word processing, spreadsheets, and presentation software required (e.g., Microsoft Office Suite). Strong interpersonal, leadership, and presentation skills. Ability to plan workload yet remain flexible; strong organizational skills and ability to meet deadlines.
Master’s degree preferred. Experience in higher education. Experience working in Digital Measures or similar faculty reporting type databases, Zoom, Qualtrics, and Outlook. Fluency in data tracking
