Executive Assistant to the Department HeadVirginia Tech
The Executive Assistant will provide exceptional administrative and programmatic support to the Biomedical Engineering and Mechanics (BEAM) Department Head. The Executive Assistant will ensure that the affairs and duties of the Department Head’s office are organized, maintained, and performed in a professional, courteous and efficient manner. The Executive Assistant will maintain the Department Head’s calendars and ensure the Department Head is well-prepared and has materials essential for meetings and presentations. The Executive Assistant will also manage travel arrangements and reimbursements for the Department Head and will also serve as first point of contact and liaison for all Departmental visitors, guests, and invited speakers and will coordinate all travel arrangements and reimbursements, as well as logistical arrangements, for assigned events and guests. The Executive Assistant will coordinate and facilitate activities and meetings and assist with faculty searches and the promotion and tenure process. This position requires the ability to work independently and with complex confidential matters while using excellent judgement and decision-making skills to ensure the professionalism and integrity of the office. This position requires a person who is action-oriented, approachable, flexible, and maintains composure and a positive customer service approach, in a complex higher education professional office environment.
- Bachelor's degree in Business, marketing, or similar field or equivalent level of training and/or experience
- Significant previous experience providing executive administrative support in a professional office environment
-Strong word processing, spreadsheet, database, and general office software skills including familiarity with MS Word, Excel, Powerpoint, and Outlook
-Professional verbal and written communication skills with the ability to interact effectively with diverse clientele
-Ability to maintain confidentiality, meet deadlines and work with minimal supervision
-Strong organizational details with strict attention to detail.
-Demonstrated ability to handle multiple tasks, set priorities, and work independently
-Prior administrative experience working at Virginia Tech or in a higher education environment
-Knowledge and familiarity with University policies and procedures
-Experience with TEM/Chrome River, Banner, HokieMart, and other Virginia Tech applications or similar applications
-Previous experience providing logistical and event planning support
