Executive Assistant for the Office of the President
Job Description
Provides executive assistance to the Office of the President. The position reports to and provides support to the Vice President for Strategic Initiatives and Special Assistant to the President in the Office of the President. Manage and prioritize the vice president's schedule; remain in constant communication with senior administrators and their assistants to facilitate interaction of executives’, scheduling, and to address emergencies as they arise. Schedule individual and group meetings; develop agendas; develop and coordinate materials. Respond to internal and external inquiries based on broad and deep knowledge of university policies and programs.
Act as a back up to the Senior Executive Assistant in the Office of the President, maintaining the President’s calendar and travel plans as needed to support the office in a professional and confidential manner.
Serve as the first point of contact for the Office of the President representing the office in a professional and customer-service facing role. Receive, review and distribute mail. Ensures items receive follow up and work with office staff to ensure timely responses are provided. Exercises independent judgment in interpreting policies and procedures and discretion and tact when handling sensitive and confidential matters.
Required Qualifications
•Bachelor's degree in a relevant field, or applicable combination of training and or experience.
•Significant experience providing executive level management administrative support in an academic or professional office environment.
•Proficient in general computer skills such as word processing, email and calendar management.
•Proficient with current office software such as MS Outlook, Word, Excel, and PowerPoint.
•Must be highly organized with the ability to manage multiple priorities and work independently in a fast-paced environment.
•Ability to work collaboratively in a team atmosphere, demonstrate discretion in working with confidential information and use sound judgment in decision making.
•Experience that demonstrates professional communication skills with the ability to interact effectively with all individuals in a diverse multicultural environment.
•Experience drafting and editing correspondence, reports, and other documents in a professional and efficient manner, including strong proofreading skills.
•Demonstrated commitment to the Virginia Tech Principles of Community.
Preferred Qualifications
•Working knowledge of university organizational structure, policies and procedures, and governance system.
•Experience working with important external constituencies, such as, prominent alumni, major donors, legislators, and leaders in government, business, and the community.
•Experience working with safety and security protocols in a higher education office setting.
