ECE Grad Prog Coordinator
Job Description
Duties and responsibilities include, but are not limited to, assistance in advertising, marketing and outreach for the ECE graduate program, particularly the Masters of Engineering (MEng) degree program; assistance in growing enrollment, development of publicity material for the graduate program, and coordination with main campus and Northern Virginia faculty and staff for course offerings and scheduling; coordination of the program with other College of Engineering programs and liaisons in Northern Virginia; coordination with other Virginia Tech units such as the Alumni Office, Office of the Dean and other VT academic departments in Northern Virginia as necessary; establishing a communication approach for prompt responses to inquiries about the program; services for guidance and advising to enrolled students; assistance in a variety of functions such as registration, developing programs of study, and creating/matching links to faculty and advisors (at both the Northern Virginia and Blacksburg Campuses); organizing/processing thesis and dissertation applications, and academic procedural advising and counseling. Other responsibilities include assisting ECE faculty with the appointment of graduate students to assistantships, including gathering all required payroll forms and I-9 verifications. The successful candidate will also be responsible for the efficient management of space for ECE laboratories, faculty, staff and graduate students at the ECE department’s Northern Virginia locations. This includes space assignment and space usage surveys. Further responsibilities include managing the department’s fixed asset inventory in Northern Virginia. The individual will be reporting to the Director of the ECE MEng program in Northern Virginia and will serve as a liaison with our stakeholders including ECE faculty, other departments in the College of Engineering, the Dean’s Office personnel, and external partners.
Required Qualifications
Bachelor's degree in a related field or equivalent level of training and/or experience; experience in higher education program development and management or equivalent experience in an R&D corporate environment and or US federal service, marketing, publicity, and outreach; employment experience providing higher-level administration in a professional office environment; accounting experience; proficiency utilizing computer software such as Word, Excel, PowerPoint, and Outlook as well familiarity of disseminating material in social media outlets; a self-starter with the ability to work independently and with a team; must have excellent customer service, communication, and interpersonal skills.
Preferred Qualifications
Additional academic administration experience in higher education; experience working with remote staff or team members; experience using Banner databases or similar in other institutions for applications, student management, departmental human resources management, and financial management including fund accounting; working knowledge of purchasing databases such as Hokiemart; experience working with and managing data within cloud data servers.
