Job Description
The Advising & Student Support Assistant provides general administrative and logistical support to the Advising & Enrollment Office in the Department of Geosciences. Responsibilities of this position will include preparing and updating student records and spreadsheets, scholarship and forms processing, document preparation and formatting, data collection and entry, confidential communications, monitoring the department email, formatting and distributing advertising materials and web/social media content, and maintaining and updating calendars and department listservs. This position will also assist with departmental event planning and support (recruitment, orientation, graduation, workshops, etc.) and manage Banner entry of semester timetables, teaching load reports, plans of study, force adds, advisor assignments, account holds, etc. The successful candidate will be someone who: is goal-directed and task-oriented, works cooperatively, adapts easily and quickly, accepts responsibility, ensures a high level of accuracy with attention to detail, and engages in continuous training and improvement. Other duties as assigned.
Required Qualifications
Demonstrated experience providing office administration or program support in a professional environment.
Working knowledge and proficiency with Microsoft Office Suite, Google Suite, and other basic office software (word processing, spreadsheets, email, presentations, calendar management, databases, etc.).
Excellent communication, organizational, and interpersonal skills to interact respectfully in a multicultural setting.
Must be able to focus despite interruptions while maintaining professionalism.
Must have outstanding attention to details.
Ability to work with sensitive information and maintain confidentiality.
Willingness to take direction and accept feedback.
Preferred Qualifications
Bachelor’s degree in a related field OR equivalent experience.
Experience in a university academic support environment.
Demonstrated proficiency working with Banner, Banner Document Management, EAB Navigate, Scholarship Central, Canvas, Slate, and/or Adobe products such as Photoshop.
Demonstrated proficiency in developing, maintaining, and manipulating Excel spreadsheets.
Experience with web and social media content and development.
Familiarity with FERPA.
Experience working with college students and/or with student success programming.
