Advancement Admin Asst
Job Description
The Administrative Assistant will provide high-end organizational and program support to the efforts of the Advancement team on behalf of the Virginia-Maryland College of Veterinary Medicine (VMCVM). Working closely with the Advancement team and under the guidance of the Assistant Dean, the primary responsibilities of the Administrative Assistant will include: Organizational Management:|Provide front-line customer service to donors, faculty, staff, and students; greet visitors and maintain appropriate contact with public, university, and private officials; provide professional and courteous telephone support; Provide human resource support for hiring and on boarding interns and full time faculty and staff; Manage calendar and scheduling for the Assistant Dean of Advancement; Manage travel logistics and reimbursements for the advancement team; Coordinate meetings for the advancement team; Coordinate HokieMart purchases, manage accounts payable, and oversee miscellaneous advancement team reimbursements; Administration of the Veterinary Memorial Fund; Management of gifts received directly within the Vet Med Advancement Office through central gift processing; Assist in coordinating the budget process and foundation funds activity; Coordinate central advancement and VMCVM advancement team activities; Prepare and print correspondence and other documents; and Maintain files and produce agendas.||Prospect Research/Portfolio Management: |Prepare correspondence; Provide data entry and management using Blackbaud CMS; Maintain files using SharePoint; and Handle schedules and logistics for donor visits, including agenda preparation, reports, meetings, etc.||Project Management: |Manage specific projects unique to the Virginia-Maryland College of Veterinary Medicine; and Assist with event planning, including contracting with venues, caterers, and other vendors, coordinating the programs, and managing the logistics of the event.
Required Qualifications
Experience providing administrative support in an academic or professional office environment; Excellent time management skills and the ability to prioritize work; Excellent communication skills; Strong organizational skills with the ability to multitask; Demonstrated experience with Microsoft Word, Gmail Suite, and Excel; Ability to work both independently and as a team; and ability to use discretion in working with confidential information.
Preferred Qualifications
Experience in higher education setting; Demonstrated experience with Blackbaud CMS or similar applications;Demonstrated experience with SharePoint or similar applications.
