Administrative Assistant for the Executive Vice Provost
Job Description
This position provides administrative support to the Office of the Executive Vice Provost. Responsibilities include serving as the administrative assistant to the Executive Vice Provost (EVP), including managing the schedule and calendaring for the EVP and three reporting assistant/associate vice provosts and managing related administrative duties such as coordinating travel arrangements and processing reimbursements. Administrative support will also require assistance with event planning for executive level meetings. This position also serves as the office receptionist, managing conference room calendars; answering and forwarding incoming calls to the suite occupants; ordering supplies; processing mail; assisting with special projects; preparing meeting materials; data entry and other routine office duties. The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills. The Administrative Assistant will have the ability to work independently on projects from conception to completion while balancing multiple priorities.
Required Qualifications
Strong customer service orientation; Demonstrated experience providing administrative support in a professional office environment with a strong service orientation; Strong organizational skills with the ability to manage multiple projects and priorities in a fast paced environment; Experience with computer software such as Word, Excel, and Outlook; must demonstrate strong attention to detail; Ability to prioritize work and be willing to work both independently and cooperatively in a team atmosphere; Demonstrate discretion in working with confidential information; ability and desire to work with people from diverse backgrounds; Must have strong communication, organizational, and interpersonal skills; Forward looking thinker who actively seeks opportunities, proposes solutions, and is resourceful and proactive when issues arise.
Preferred Qualifications
Strong working experience in calendar management, including the coordination of complex executive meetings; ability to thrive while working on multiple tasks simultaneously; ability to use good judgment to resolve issues with minimal supervision. Bachelor’s degree.
