Job Description

The Administrative Assistant and Media Specialist provides support to the Director of the Virginia Tech Institute for Policy and Governance (VTIPG) and IPG Faculty.

Responsibilities of the position include: managing the director's calendar; maintaining project, research, and student files; preparing documents and correspondence; assisting with light research including obtaining documents and publications; providing logistical support for meetings, seminars, workshops, and events; and coordinating national and international travel.  Coordination of Institute meetings and logistics and support to special events.

In addition, this position maintains the institute’s website, posts commentaries to the website along with general updates (using content management systems), prepares quarterly newsletter, drafts media summary of Institute initiatives and projects, supports Institute faculty and staff, and provides backup for the Fiscal Technician. The Administrative Assistant also serves as the leave manager for the Institute maintaining leave schedules and compliance with leave reporting and policy.

Required Qualifications

Previous administrative experience in an academic or professional office environment.
Proficiency utilizing various office software for functions such as word processing, spreadsheets, electronic mail, desktop publishing and database maintenance.
Experience working with accounts payable transactions.
Ability to understand, and apply complex state and university policies and procedures.
Ability to summarize and communicate policies to new employees and when policy changes.
Excellent communication skills with emphasis on telephone and office etiquette.
Strong interpersonal, organizational and multitasking skills, and ability to work collaboratively and independently.
Ability to summarize content for media and other communication.
Must be dependable, show initiative, be able to work effectively as part of a team, and interact comfortably and courteously with individuals in a diverse multicultural environment.

Preferred Qualifications

Bachelor's Degree in business, marketing or related field or equivalent education, training and/or experience.
Previous experience providing professional level support in an academic office environment including preparing professional business correspondence, spreadsheets and data.
Demonstrated proficiency with current computer software such as word processing (Microsoft Word and Publisher).
Experience with website content management systems for updates.
Experience such as working with spreadsheets, electronic calendars, email and events coordination and management.
Experience and skills with social media management.
