Admin & Ops Assistant
Job Description
This position performs complex administrative activities and coordination of efforts in support of the College of Agriculture and Life Sciences (CALS) and the Virginia Agriculture Experiment Station (VAES), reporting directly to the Associate Director of VAES.
The Admin & Ops Assistant will provide support to the VAES Director and Associate Director in facilitating interaction with the Virginia Tech (VAES) Agricultural Research and Extension Centers (AREC) as well as other organizations within and beyond Virginia Tech.
Responsibilities will include, but are not limited to: communications, planning and coordinating meetings & events, calendar management, travel management, project management of programmatic initiatives and activities, and supporting social media and other strategic approaches for enhancing CALS and VAES visibility.
This position supports the VAES Associate Director in managing VAES and CALS research program initiatives, coordination and communication with regional and national agricultural experiment station directors, regional/national committees, and multi-institutional initiatives. A high level of attention to details and ability to independently handle a variety of complex projects and campus interactions is essential.
The Admin & Ops Assistant will establish and maintain positive working relationships within CALS Research and Administrative teams, across College and University, state/federal agencies and associations, and with external stakeholders.
The individual should proactively strive to anticipate leadership needs and work effectively in support of the team. The incumbent must be able to work under pressure at times to handle a wide variety of activities including confidential and sensitive matters.
Required Qualifications
- Bachelor’s degree or equivalent applicable experience or training.
- Experience coordinating complex domestic and international travel arrangements and reimbursements.
- Experience managing calendars, and priorities for senior level administrators.
- Ability to multitask, adapt to changing priorities, prioritize multiple tasks, and meet deadlines, and work collaboratively with others.
- Excellent written and oral communication and interpersonal skills.
- Customer service focused, comfortable working with the public.
- Excellent planning and organizational skills.
- Advanced computer skills and demonstrated proficiency with Banner System, Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
- Experience arranging logistics for meetings, events, and programs.
- Demonstrated ability to perform duties with a high level of professionalism, confidentiality, flexibility, discretion, judgement, diplomacy, and tact.
- Ability to maintain strict accuracy and sensitive to details, especially when editing documents
Preferred Qualifications
- Preference for one degree in agriculture and/or life science discipline; broad knowledge of agriculture and life sciences.
- Project management experience
- Knowledge of University policies and procedures
