Transit Administrative Assistant I P/T
- General Definition of Work
Provides customer service by answering phones, assisting with trip planning, and receiving visitors at the front desk, and administrative support for the CCS division. Work is performed under the supervision of the CCS Coordinator
- Essential Functions
Answers phone and assists customers with trip planning answers general customer service questions.
Logs number of phone calls received, by category.
Provides exceptional customer service to all visitors and customers in-person and via phone.
Ensures all visitors sign in, providing the first line in building security.
Provides detailed documentation of all customer feedback to CCS staff.
Manages the lost and found process including the retrieval, logging and securing of all lost and found items in an online database.
Returns lost and found items to the rightful owner and disposes of unclaimed items after the hold time has expired.
Assists the Communications and Customer Support staff with the research and procurement of small purchases.
Assists with the planning and preparation of special events and projects.
Maintains an online calendar of staff time off.- Knowledge, Skills, and Abilities
Thorough knowledge of standard office practices, procedures, equipment, and administrative support techniques;
thorough knowledge of business English, spelling and arithmetic; thorough knowledge of departmental programs and policies; ability to make arithmetical calculations; ability to follow oral and written instructions; ability to read and understand maps; ability to operate a variety of office equipment to produce complex/technical documents; ability to establish and maintain effective working relationships with public officials, associates and the general public.
Days and Hours of Work
Monday through Friday 7:30 AM - 1:30 PM
Education and Experience
High school diploma or GED and moderate experience working with the Microsoft Office Suite in a Windows-based environment.
Special Requirements
Valid driver's license in the Commonwealth of Virginia with a satisfactory driving record.
- Physical Requirements
This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting, frequently requires speaking or hearing, using hands to finger, handle or feel and repetitive motions and occasionally requires standing, walking and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts and operating motor vehicles or equipment; work has no exposure to environmental conditions; work is generally in a quiet location (e.g. library, private offices).
