Accounts Representative - General Services
- GENERAL DESCRIPTION
Performs responsible clerical and technical work involving the processing of payments to County vendors and the preparation and maintenance of fiscal or related records according to standardized accounting practices. Assists internal and external customers, sometimes dealing with difficult situations or people. Reviews various reports and edits to ensure accuracy. Assists with detailed documentation and reporting related to facilities and Capital projects. Performs other duties as assigned.
- ESSENTIAL JOB FUNCTIONS
- Oversees payments to vendors, verifying accuracy of budget codes, invoices, purchase orders, and discounts in a timely manner
- Verifies availability of funds for purchases and obtains overrides as necessary
- Reviews and prepares information for data processing
- Collects, categorizes and computes data to be charged to appropriate accounts
- Prepares Journal Entries as needed
- Ensures proper separation of Capital Improvement Plan and Capital Maintenance Plan expenditures
- Manages utility payments and reporting
- Reconciles purchasing card statements and monthly logs
- Performs complex data entry and filing
- Answers inquiries from internal and external customers
- Reviews records of unpaid accounts
- Provides support functions for facility operations and Capital project delivery
- Serves as the backup for the front desk phone and customer service duties
- REQUIREMENTS/PREFERENCES
Education
Required: High School diploma or equivalent supplemented by business school or college level courses or training in bookkeeping and accounting practices.
Experience
Required: Considerable experience in accounting, bookkeeping and developing sophisticated reports.
Certifications/ Licenses
None
Knowledge, Skills and Abilities- Thorough knowledge of office terminology, procedures, equipment, and of clerical methods used in accounting and bookkeeping.
- Strong ability to work with the public by phone and in person.
- Ability to have considerable familiarity with the departments to which assigned, and with their accepted accounting and bookkeeping methods and practices
- Ability to interpret policies and procedures in researching and resolving customer inquiries, requests and complaints
- Ability to follow complex oral and written instructions and apply detailed procedures to work assignments
- Ability to maintain complex files and records and to prepare reports from those records
- Ability to perform difficult mathematical computations quickly and accurately
- Ability to establish and maintain effective working relationships with others.
