Executive Assistant
General Description:
The Executive Assistant reports directly to the Chief of Staff and provides high-level comprehensive administrative support to the Office of the President.
Duties and Tasks:
- Addresses concerns and requests referred to the Office of the President by students, faculty, staff, and members of the community by responding or referring to the appropriate person.
- Supports the President by performing day-to-day operations, including purchasing and budget management, event planning, and recording minutes.
- Supports the Presidential Scheduler to coordinate the President’s calendar and prioritizing meetings and schedule changes.
- Compiles and manages expense reporting and monthly budget reporting.
- Tracks all signature items, and maintains and updates documents on the internal SharePoint drive.
- Ensures operation of equipment in the Office of the President.
- Supervises part-time staff and student workers, as needed.
- Collaborates with other executive staff and assists other team members, as needed.
- Assists in the planning and execution of various college-wide events, as needed.
- Assists with daily communications to include inbox messages, as needed.
Required KSAs:
- Ability to establish priorities, work under pressure, and build effective working relationships.
- Ability to balance multiple and competing priorities.
- Ability to edit correspondence and documents.
- Respect for confidentiality of sensitive materials, independent judgment, and discretion.
- Strong written and verbal communication with excellent customer service and organizational skills.
- Proficient in Microsoft Office (Outlook, Word, Excel, Teams, and PowerPoint), Adobe Acrobat, and Zoom.
Required Qualifications:
- Associate’s degree in Business Administration or related field or equivalent combination of education, training and experience.
- Significant relevant professional experience working and providing administrative support to a senior-level executive in a fast paced environment.
- Some supervisory experience in a clerical or administrative position.
Preferred Qualifications:
- Bachelor’s degree in Business Administration or related field.
- Supervisory experience in supporting a senior level executive at an institution of higher education.
