Job Summary
This position is open to current State System of Higher Education employees only. This position is fully remote, with occasional travel to Harrisburg or the Universities.
The Chancellor's Office is seeking a self-directed, highly organized, and adaptable individual to fill a critically important role that serves as a hub of information and operational support for high priority functions in the office. This position is a primary point of contact for members of the Board of Governors, universities' Councils of Trustees, and a host of other stakeholder groups that interact with the Chancellor and his team. Because the System Office has a small staff, every member must be versatile and flexible in their role in order to fill the ever-changing needs. That approach to servant leadership is modeled at every level in the office and is core to ensuring a healthy culture of support for each other.
General Description:
The Coordinator of Board Operations and Trustee Relations reports to the Deputy Chancellor and performs a wide variety of advanced, comprehensive, and complex coordination and executive support functions in response to organizational priorities. This position manages/coordinates operations, communications, and activities in support of the Board of Governors and the Councils of Trustees and provides support to the Chancellor, Deputy Chancellor, the Office of Public Affairs, and other units within the Office of the Chancellor as needed. This is advanced administrative and operational work that requires considerable independent judgment, anticipatory thinking, autonomy, and a highly responsive approach to work. Confidential and highly sensitive matters are frequently associated with this position's responsibilities.
Remote Work:
The Chancellor's Office has been a primarily remote-work organization since 2020—with staff performing duties at the highest level in service to PASSHE's universities while minimizing costs associated with traditional office-based work environments. We seek to provide a supportive, inclusive, and interactive remote-work experience that enables staff to maximize productivity while providing a healthy work/life balance. While the person in this position can be located anywhere in Pennsylvania, occasional travel to Harrisburg or to the PASSHE universities is required, primarily in association with the quarterly meetings of the Board of Governors or occasional in-person gatherings of groups.
Duties include but are not limited to:
Bachelor's degree preferred or equivalent of 10 years of experience requiring increasing levels of experience.

- Serve as central point of contact for board members and trustees and maintain a comprehensive database of member information and engagement
- Work closely with board members, trustees, and senior staff to provide overall coordination of meetings and events including the development of agendas and associated materials
- Provide primary support for the planning and execution of the system office annual staff development conference
- Identify and articulate opportunities to enhance board operations and trustee relationship development
- Assist in the planning and execution of presidential searches, presidential evaluations, and other executive-level support
- Monitor and/or handle the payment of invoices and other assigned fiscal activities
- Manage information flow through significant use of SharePoint and other applications within the Office 365 suite
- Gather and analyze data, prepare summaries of findings and recommendations, ensuring that the appropriate informational materials and summaries are available for executive decision-making and meetings
- Prepare and review reports, documents, and correspondence for proper format, grammar, and accuracy and ensures that revisions are made when necessary
- Answer inquiries concerning complex subject matters using utmost discretion and sensitivity
- Serve on or lead special project teams/committees
