Essential Job Functions
  • Coordinates meetings and events, both on campus and virtually, including but not limited to; preparing materials, reserving and preparing facilities, obtaining vendor quotes, working with external vendors of approved contracts, prepares on-campus interview schedules and recording and transcribing meeting minutes and timelines
  • Coordinates departmental marketing and social media plans
  • Creates and disseminates digital and print marketing materials following marketing principles and university brand guidelines for students, faculty and employers
  • Organizes the online recruitment system in support of the department's events logistics
  • Monitors the online recruitment system by reviewing, researching, approving or denying initial employer access, as well as subsequent valid, reputable individual job and internship postings for students in all majors
  • Remains up to date on recruitment plans to recommend, communicate and incorporate enhancements by attending applicable webinars or trainings
  • Manages the quality check of employers' access and postings requests to maintain reputable and valid internship and job postings that protect students from fraudulent employers
  • Identifies and shares new postings that would be of interest to students based on their college and major to departmental staff
  • Plans, coordinates, runs and manages the post-evaluation and usage reports for various department events, including monthly and adhoc engagement reporting
  • Coordinates the event registration process by adhering to the established recruitment plan aligning employers to enrollment and JWU programs, including, collection of payments in accordance with department cash handling policies
  • Answers questions from various constituents in a professional and appropriate manner, by following department and university professionalism guidelines for information sharing and efficient service
  • Acts as call center representative for the online recruitment system, user questions, and processes student and alumni system access requests
  • Works within the established events budget; including obtaining quotes for services, monitoring spending, and payment of vendors
  • Performs general office tasks such maintaining records, data entry, ordering and maintaining office supplies, maintaining department/administrator calendars, arranging for equipment and associated maintenance, and facilities work requests
  • Performs other duties as assigned
Required Qualifications
  • Minimum of a bachelor's degree
  • Experience working in event planning, marketing, social media or other related experience
