Position Summary

Reporting to the Department Chair, the Executive Secretary provides administrative support to the Lincoln Center (LC) Associate Chair, Lincoln Center Writing Director, department staff, faculty, and students.

 

Essential Functions        

  • Supports the LC Associate Chair, assists the LC Writing Director as well and provides efficient administrative support to the members of the English department faculty, students, and fellow staff.
  • Works with the Associate Chair and the Rose Hill (RH) secretary to organize and complete the fall and spring course schedules and the course offering spreadsheet and submits it to Academic Records along with the course inventory. Updates course descriptions added annually. Posts updated course schedule information.
  • Keeps the department regularly supplied with basic office necessities, answers phone calls, and re-directs queries, etc.
  • Fills faculty book orders, including desk copies. Keeps a record of books ordered through the book store each term, as well as desk copies ordered directly from publishing companies.
  • Maintains computer and printer database for the department.
  • Collects and updates faculty, adjunct, and teaching grad student office hours, office locations, meeting spaces, telephone and address information.
  • Submits electronic paperwork to Academic Records for new LC English major and minor declarations, and new English major advisor. Sends out English major letters to students and advisors. Sends out advisee list each term before registration.

Additional Functions      

  • Reserves meeting rooms and coordinates with RH secretary to set up video conference between campus locations, conveys faculty needs to Duplicating, IT, and Facilities
  • Coordinates office assignments and distributes keys.
  • Creates and edits brochures and flyers on behalf of the department.
  • Attends monthly department meetings, recording and transcribing minutes, and does the same for various committee meetings on request
  • Coordinates with faculty for LC events, including securing LC locations and catering orders through and outside of Fordham.
  • Performs special projects and small tasks as assigned by Chair, Associate Chair, Writing Director, and Senior Departmental Administrator
  • Works with the RH support staff to update records of all LC English majors, minors, and advisors, including graduation date, advisor name, email address, and double major advisors.

 

Required Qualifications: Education and Experience        

  • High school diploma or equivalent

 

Required Qualifications: Knowledge and Skills     

  • Proactive approach to responsibilities, planning, and project management
  • Excellent writing, communication, and organizational skills
  • Proficiency in Microsoft Word, Excel, and Google apps
  • Excellent judgment, diplomacy, and discretion necessary in handling confidential and/or sensitive material
  • Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.

 

Preferred Qualifications 

  • Bachelors Degree
  • Experience with academic administration
