Position Purpose

To work as part of a team that offers service to students, faculty, and staff on behalf of the Registrar's Office. To provide a vital communication link between the Registrar's office and the Dartmouth community, with a focus on students and academic departments/programs. To ensure that course data is collected and recorded correctly, to interpret and facilitate a timely response to incoming communications, and to make certain that academic information is disseminated in an accurate, professional, and appropriate manner to all constituents.

  • Associate Degree and four years' experience working in a professional setting or the equivalent combination of education and experience.
Skills, Knowledge and Abilities
  • Demonstrated experience providing friendly and professional customer service.
  • Ability to interpret, understand, and explain complex processes and procedures in response to questions from constituents.
  • Ability to learn new processes quickly, retain that knowledge, and apply that knowledge appropriately in a variety of situations.

  • Reliable, flexible, and diplomatic.
  • Ability to meet deadlines and balance priorities in a fast-paced office.

Service Responsibilities
  • Presents a welcoming, friendly, and professional manner at all times.
  • Provides high-level professional service to the Dartmouth Community, with a primary focus on students and faculty.
  • Responds to a wide variety of complex student, faculty, and staff general inquiries.
  • Helps students to resolve administrative issues related to academic matters via email and phone.
  • Oversees the official transcript and citation delivery process.
  • Manages student information system processes and explains procedures to inquirers.
  • Assists with application testing and training in the use of new Registrar technologies in accordance with academic policies and procedures.
  • Communicates with departments and programs to assist them with the development of the Timetable of Class Meetings each term.
  • Provides procedural support to departments and programs and directs them to appropriate self-service publications, Guides, or applications.

Office Responsibilities
  • Maintains office supply inventory and places orders.
  • Communicates with administrative offices about Registrar processes.
  • Resolves records and registration issues as appropriate.
  • Provides general staff and office support including data entry and updates.
  • Cross-trains with other members of the operations team and provides back-up support when required.
  • Always uses good judgment and openness to issues of inclusion and diversity.
  • Manages course data flow which includes course proposal support in DCARS, data entry and updates.
  • Assists with student registration and enrollment pattern (D-Plan) changes.
  • Communicates with Faculty and Student Affairs to resolve grading issues as appropriate.
  • Participates in business process re-engineering.
