Administrative Coordinator
LTEN Administrative Coordinator Job Description
Life Science Trainers & Educators Network (LTEN) seeks an organized, energetic, self-motivated team player for Administrative Coordinator. This position provides support to the staff of LTEN with various administrative activities, working closely with each member of the LTEN team. The Administrative Coordinator will support training suppliers, members, and events including communications (both written and telephone), shipping, and other general duties as needed.
Proficiency using the standard suite of office products is required. The ability to use and/or learn new programs such as NetForum, Survey Monkey and Annual Conference registration and badging systems is required. The ideal candidate will be able to travel to and work during a 5-day Annual Conference event.
Requirements:
- Must be self-directed, flexible and organized.
- Able to multi-task and prioritize.
- Comfortable working independently
- Able to make decisions independently or consult with others when needed.
- Excellent telephone and interpersonal skills.
- Work hours ideally are 9 am to 1 pm daily and will average 15 to 20 hours per week. Availability 8:30 AM to 5 PM Eastern as needed.
- Experience with Microsoft Word, Excel and PowerPoint is required. Knowledge of Adobe Publisher is a plus.
- Candidate must be comfortable working within a shared file system (e.g. Dropbox).
Duties include:
Support LTEN certificate programs and mixer events (15-20 per year)
- Communicate with registrants; send pertinent classroom directions and hotel information
- Ship all materials needed for workshops (e., classroom materials, table tents, LCD projectors)
- Manage shipments of materials to mixers
- Create name badges and sign-in list for mixers
- Manage post-event database with attendance in LTEN database (NetForum)
- Make phone calls and send emails as requested
Manage LTEN New Member Kit
- Manage new member kit distribution on a weekly basis
- House and maintain inventory of kit items
- Work with director of marketing to maintain kit contents
Annual Conference
- Attend the Annual Conference to support conference efforts
- Work Concierge desk during exhibit hours at Annual Conference
- Communicate with registrants and potential registrants/sponsors/exhibitors
- Coordinate full and exhibit registration for PIP for Annual Conference
- Coordinate supplier inserts for the member bag at Annual Conference
- Coordinate Learning Labs in Exhibit Hall
- Make phone calls and send emails as requested
Association Membership System and Database Management (NetForum)
- Maintain LTEN database to include data management
- Post-event database recording, including live events and webinars
- Assist with proofreading
- Create web pages for Focus articles
Location: Roanoke, Virginia offices; 9 am – 1 pm daily, weekdays
Salary: Hourly based on experience
