Executive Office Coordinator
The Executive Office Coordinator reports directly to the Chief Executive Officer (CEO) and supervises designated executive office and administrative staff. This position provides extraordinary organization and leadership, including consultation to staff, as it relates to difficult, complex and responsible work managing the Office of the CEO. Performs varied tasks and/or completes projects assigned by the CEO with impeccable attention to detail, confidentiality, and professionalism. Assignments may involve difficult, complex, and responsible work in office, business, or fiscal operations under limited supervision, including a variety of Microsoft Office programs.
The incumbent must possess an extraordinary level of good judgment, oral and written communication skills, initiative, discernment, and discretion about sensitive or confidential matters, and maintains a highly effective and professional presence. The position maintains efficient functioning of the Office in a fast-paced, ever-changing environment, while maintaining a professional presentation and courteous public face for the Office of the CEO as it relates to members of the BRBH Board of Directors, staff, state and local government officials, community partners, the news media, concerned individuals and groups, and consumers of our services. The position manages and ensures full productivity of the team of administrative support for the Executive Office. The position meets professional obligations through effective work habits including meeting deadlines, honoring schedules, coordinating resources and meetings in a timely and effective manner, and demonstrates respect for others. This position requires flexible hours to include occasional nights and weekends and ability to excel in a fast-paced, high volume and high stress environment.
The incumbent may perform a range of assigned duties that may include management of calendars, events, various deadlines; events planning; coordination of data collection; maintenance and development of a wide variety of reports and data spreadsheets containing key analytics, consistent application of brand standards for agency communications and informational materials; excellent internal and external communications (oral, written and electronic); management of information flow and approval processes, as other duties as assigned to ensure effective operation of the executive office.
Minimum Education Required:
Bachelor's Degree in Business, Human Services, Liberal Arts, Public Relations or relevant field to position.
Minimum Experience Required:
- Three years leadership, management or supervisory experience.
- Five years of responsible administrative experience (5 yrs), demonstrates competency in the operations of executive or senior management office environments (administrative support at the executive level is a plus)
