This position is Full Time. The schedule is 8:00 AM - 4:30 PM; Monday - Friday (with half hour lunch).

What we are looking for: The ideal candidate will have strong customer service skills and will enjoy assisting individuals who may have mental illness or developmental disabilities. The successful candidate will be proficient of Microsoft Office/Excel, honor client rights, and be able to project a positive/professional image under pressure.

The Administrative Assistant performs a variety of clerical and administrative support duties to assure the smooth functioning of the clinical work performed at our facilities. Duties include:

  • Answering incoming telephone calls, screening and routing calls to appropriate staff. 
  • Greeting clients and visitors and notify staff of their arrival and/or page staff when necessary.
  • Monitoring document cents for incoming faxes, and paper supply. 
  • Order and maintain office supplies, prepare accounts payable requisitions for programs being supported.
  • Maintaining petty cash account(s) and records associated with these accounts.
  • Making copies of materials assemble client workbooks and program handouts.
  • Sorting and distributing incoming and outgoing mail.
  • Making reminder calls to clients for appointments and report status updates to staff members.
  • Completing special projects for program managers and staff, including but not limited to preparing correspondence, printing labels, and filing, as assigned.
  • Provide cross-coverage for essential daily tasks with other positions in the clerical pool.

Minimum Requirements:

1. Education: High school diploma or GED required.

2. Experience: One (1) year of previous clerical or administrative assistant experience. Preferred experience working with diverse client population, including individuals diagnosed with intellectual disabilities, serious mental illness, and/or substance use disorders.

3. Safe Driving Record: Candidates must have a valid Virginia driver's license with a safe driving record (no more than two moving violations in the last three years and no criminal violations in the last five years).

4. Background: Candidates will be required to submit to a criminal background check.
