Position Summary
The Administrative Assistant 2 reports to the Director of Student Affairs Programs and Assessment. This position supports the director with parent and family communications, programs and events, publications, and assessment.

Primary Duties and Responsibilities
- Greet and assist students and office visitors, directing inquiries as appropriate, answering telephones and assuring that requests for assistance are handled in a timely and professional manner.
- Assist with administrative support and communications of the Austin Peay Parent and Family Association and the APSU Parent Portal.
- Assist with maintaining the Parent Association website and social media accounts, updating events, and assisting parents in their efforts to connect with the University.
- Maintain parent association database;
- Respond to parent and family inquiries and portal issues in an appropriate and timely manner.
- Assist with development of and sending parent and family electronic newsletters and mailings, and assist with assimilation of communications for other parent and family outlets.
- Provide excellent customer service to students, parents, and others.
- Assist with updates, edits, proofing, and production of the student handbook and other publications.
- Create and process invoices and maintain accurate revenue records.
- Gather materials and assist in the preparation of reports.
- Assist with organization and preparation of presentations and trainings for director and coordinator.
- Reconcile budgets and process purchasing, contract, travel, and business transactions for director and coordinator.
- Assist with maintenance of departmental web pages.
- Hire, train, schedule, and evaluate student employees and process all related paperwork in a timely and accurate manner.
- Check student grades and other student information as needed.
- Manage appointments and calendar for director, and manage virtual meetings.
- Assist with scheduling and preparation of special projects and assist at events.
- Web related responsibilities to include, but not limited to, deleting existing webpages
and/or creating pages to be used on the website. - Perform various other Student Affairs functions and clerical support duties as required.
- Ability to efficiently operate a personal computer and associated software (Outlook, Word, Excel, PowerPoint, ZOOM, Microsoft Teams, Google Docs, Argos, Canva, EMMA, etc.) and Banner.
- Ability to communicate effectively and appropriately orally and in writing.
- Ability to maintain confidentiality of records and information.
- Ability to effectively supervise student personnel and complete all related personnel and financial aid actions in a timely and accurate manner.
- Ability to interact in an effective and appropriate manner with diverse populations, the University community, parents and families, and the public.
- Ability to project a positive, customer-service attitude.
- Ability to detect and correct grammatical and spelling errors in written correspondence, reports, publications, social media posts, webpages, and other communications.
- Ability to accurately prepare correspondence, reports, and presentations.
- Ability to assist in the planning, organization and implementation of programs and events.
- Ability to accurately reconcile budgets and maintain records of financial transactions and expenditures.
- Ability to work evenings and weekends as needed.
- Basic understanding of URL's. browsers, and content management systems.
- Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
- High school graduate or equivalent.
- Proficient in Microsoft Office suite, Google docs, and related computer skills.
- Excellent organizational skills.
- Experience editing, composing, and proofing communications and publications preferred.
- A background check will be required of the selected applicant.
